Position Summary

We are seeking a highly organized, detail-oriented, and proactive Insurance Program Coordinator to fully administer and manage the operations of a regulated insurance program. This role serves as the central operational and compliance hub for the program, overseeing regulatory filings, documentation management, research, state agency coordination, governance records, and cross-functional communication.

The ideal candidate has a strong background in insurance operations and/or legal support, thrives in highly regulated environments, and excels at information organization, file management, and regulatory research. This position requires exceptional follow-through, the ability to manage multiple deadlines across jurisdictions, and confidence communicating with state insurance departments and regulatory agencies.

Key Responsibilities:

Insurance Program Administration

  • Oversee day-to-day administrative management of the insurance program.
  • Maintain corporate records, governance documents, board materials, and regulatory filings.
  • Track deadlines for multi-state compliance requirements and ensure timely submissions.
  • Coordinate and maintain licensing and registration documentation across jurisdictions.
  • Serve as the central repository manager for all program documentation and records.

Regulatory & Compliance Coordination

  • Research and interpret insurance regulations across multiple states.
  • Communicate directly with state insurance departments and regulatory agencies.
  • Prepare, organize, and submit regulatory filings, annual statements, and supporting documentation.
  • Maintain compliance calendars and ensure all statutory deadlines are met.
  • Assist with audits, examinations, and regulatory inquiries.
  • Conduct legal and regulatory research using platforms such as Westlaw.

Documentation & File Management

  • Establish and maintain highly organized digital and physical filing systems.
  • Manage version control of policies, contracts, governance documents, and procedures.
  • Track amendments, endorsements, and compliance updates.
  • Ensure documentation accuracy and accessibility for leadership and auditors.

Operational & Program Support

  • Coordinate with underwriting, claims, accounting, legal, and third-party vendors.
  • Assist in policy development, revisions, and procedural documentation.
  • Support claims administration oversight and compliance workflows.
  • Organize and track vendor contracts and service agreements.
  • Assist in implementing operational improvements and workflow efficiencies.

Research & Information Management

  • Conduct structured research on regulatory requirements, statutory changes, and compliance updates.
  • Compile summaries and briefing materials for executive leadership and board members.
  • Develop tracking spreadsheets, compliance logs, and reporting dashboards.
  • Organize complex information into clear, usable documentation.

Stakeholder & Agency Communication

  • Serve as a primary administrative liaison between internal and external parties.
  • Coordinate meetings, prepare materials, and document minutes.
  • Prepare executive-level reports, compliance summaries, and risk updates.
  • Follow up consistently with internal teams and regulatory bodies to ensure issue resolution.

Qualifications

  • Paralegal certification or Bachelor’s degree in Law, Business, Risk Management, Insurance, or related field preferred.
  • 3-5+ years of administrative, project management, compliance, insurance operations, or regulatory coordination experience.
  • Experience conducting legal research.
  • Experience working within an insurance carrier or captive strongly preferred.
  • Excellent project management and organizational skills.
  • Must be a self-starter and ability to work independently.
  • Strong analytical skills and problem-solving capabilities.
  • Must be proficient in MS Office.
  • West Law experience preferred.
